keeptrack

Bring in what you have

You do not need to type your clients in one by one, and you do not need to move your files. Ask your assistant to set up your board from what you already have.

Start

In Cowork, or in Claude Code or Codex opened on your board repo, say:

Onboard my existing work into Keeptrack.

The assistant uses the onboard-keeptrack skill. It first asks whether to bring in people and clients (CRM), tasks, or both. If you choose CRM, its first CRM question is “Name your clients.” Five names are enough to start. You can answer “skip” to any other question.

What it does

  1. Asks a few short questions: your clients, and where their files and emails are.
  2. Looks at the places you name, for example a spreadsheet, Gmail, your calendar, Trello, or a Clients folder in Drive. It only reads.
  3. Shows a plan: the people and companies it will add, with the reason for each one, the tasks it will move, and the folder link for each client.
  4. Adds them after you say yes. If you run it again, it adds nothing twice.
  5. Links your files. Your files stay where they are. Each client gets a link to its folder.
  6. Shows your first week: who to contact, and what is left for you to do.

Your files stay where they are

The assistant does not copy, move or delete your files. It saves links to your folders on the board. If you have no client folders yet, it can suggest a simple structure. It reorganises files only if you ask, and only after you approve a list of the changes.

It never sends anything

The assistant does not send emails or messages, and it does not change your old tools (for example, it does not archive Trello cards). You do that.

Add more later

Ask “add my older clients”, “look through last year’s email” or “import my Trello board” at any time.

For a spreadsheet

If your clients are in a spreadsheet, the assistant can import it directly. The columns it understands are: name, company, role, email, phone, linkedin, value, next, notes, source, stage, due and evidence.
